How to Approve a Printer Sample Before Ordering
Use your own representative artwork and actual materials where practical. Approve a documented result that can be repeated on the quoted configuration.

Make the sample representative
Include the difficult details in your order mix rather than choosing only an easy promotional image. Identify the substrate or garment and state required finishing. Ask the supplier to record the configuration and settings relevant to the sample.
Keep the approval boundary clear
Agree the appearance and performance checks before the sample is produced. Retain a physical reference where possible and distinguish that approval from broader claims not tested. Confirm that any configuration changes before shipping are reviewed against the sample record.
Production checklist
Use these checkpoints to prepare a trial or discuss the configuration with your supplier. Record the result for each item before approving a production change.
- Customer artwork
- Identified material
- Recorded sample configuration
- Written acceptance criteria
Does a supplier’s showroom sample prove my application?
It demonstrates a capability, but your artwork, material and end use may differ. Request a relevant sample before treating the result as an approval.
